Visitor Check-In & Student Sign-Out Procedures

  • All SMCISD visitors must provide identification upon request. SMCISD may eject a person from district property if the person refuses or fails to provide on request identification and it reasonably appears that the person has no legitimate reason to be on district property (Texas Education Code §38.022(a), (a-1)). All visitors are required to enter through the front office and present a valid state-issued identification credential to be verified by the SMCISD Rator Visitor Management System. Visitors who frequent a campus are required to check in for each visit (SMCISD Board Policy Manual GKC — Community Relations: Visitors. Identification).  The following identification is accepted: 

      • State Driver’s License
      • State Identification Card
      • Passport
      • Uniformed Services Identification Card
      • Foreign Consultate Card

    If the visitor’s picture is not visible on their identification, the campus will ask for another form of identification with a clear picture. SMCISD will not manually enter an identification credentials number for visitors without valid identification, i.e. state driver's license number.

    When exiting the building, visitors must sign out, return their visitor sticker to the front office staff, and immediately exit the building through the front door. All visits are for specific campuses.

    Special Considerations:

    • On-duty/uniformed law enforcement officers may provide their agency-issued badge in lieu of the aforementioned identification.
    • Department of Family & Protective Services staff are required to present valid identification for the campus visitor management system and agency-issued credentials. No photocopies will be made of presented identification.
    • Registered sex offenders are required to self-report their presence to campus administration, in addition to signing in to the Raptor Visitor Management System. Campus administrators and safety staff will comply with district procedures to escort and supervise these individuals during their visit; individuals without legitimate business which supports the education of their students will be asked to leave campus. 
    • SMCISD employees visiting a campus in the capacity of a parent/guardian will follow all visitor procedures. Additionally, employees must enter through the front office and not use their district ID badge to access the building.

    In order to expedite student sign-out prior to the end of the school day, SMCISD will utilize the following procedures:

    • Parents/Guardians/Authorized adults must present valid identification. 
      • SMCISD employees cannot use their badge as identification and must present a valid ID.
    • Parents do not have to be signed into Raptor unless their intent is to access the building beyond the front office. 
    • Parent/Guardian/Authorized ID must be scanned in order to check out a student.
    • If an individual who is not authorized attempts to check out a student, staff will immediately call one of the parents listed in eSchool to notify them, and contact campus administration/security.
    • Authorized pickups are documented by parents/guaridans giving the individuals information in person or by email. 
    • Parents may call the school to inform the front office staff that an individual who is not authorized through their students pickup list is planning to check out the student. Authenticity of the caller will be verified by matching the phone number on file, asking the parent for the address listed in eSchool, and the student’s date of birth.

    Students will not be called to the front office prior to their parent/guardian/authorized pickup person arriving to the front office. 

    SMCISD will not deny access to a parent listed on a student's birth certificate unless court paperwork is on file. Custody Agreements and Protective Orders should be given to the school at the time of student registration or upon issuance by a court authority.
